How message templates work, and why most are cheap

To send a message like this, you use a “template”: a message format you write once and submit to Meta for approval. Approved templates can carry variables, like the guest’s name or booking time, that fill in automatically each time you send.

Meta sorts every template into one of three paid categories: utility, marketing, and authentication. Utility follows up on something the guest did, like a booking or an order. Marketing promotes something, like an offer. Authentication is for one-time passcodes. The category, plus the guest’s country, sets the price, and utility costs far less than marketing. Utility messages are also free inside the 24-hour window that opens when a guest messages you.

Keep promotions separate, and it stays cheap

Promotions are a different category. A “15% off this weekend” or a loyalty offer is a marketing message, and you pay for it from the first send. There’s nothing wrong with sending them, since they bring people back, but keep them out of your booking messages. Slip a promo into a reminder and the whole message turns into a paid marketing one.

"Your table is booked for 7pm" is a utility message. Add "15% off your next visit" and it becomes a paid marketing one.

Since April 2025, WhatsApp checks this itself: label a promo as “utility” and it still gets billed as marketing. So give each message one job.

It helps to see how the pieces fit. WhatsApp doesn’t hold a calendar or check whether a table is free, so you need a booking system as the source of truth. 1. You already have a booking system. Connect it to WOZTELL through Make or n8n, so any new booking, whether from your website, a walk-in, or a phone call, triggers the WhatsApp confirmation and reminders. Your booking tool is the trigger; WOZTELL’s “Send WhatsApp Template Message” is the action.

2. You don’t have one yet. Start with a lightweight scheduler like Calendly, Cal.com, or Google Calendar. It handles availability and stores each booking, so nothing gets double-booked. Your WhatsApp chatbot or Flow points guests to it, and the same integration sends the confirmation and reminders once a slot is taken. A pre-built chatbot template gives you a starting point. For simple time-slot booking that’s plenty; for full table management, like party sizes, turn times, and a floor plan, connect a dedicated restaurant reservation system the same way.
